AUL Homes · Website & iPhone app
Privacy Policy
Effective date: October 16, 2026
Who we are
AUL Homes is the private web portal and iPhone app of the Aulegre real estate team (Iron Valley Real Estate · Hampton Roads), operated by Build A Space LLC. For anything in this policy, contact info@aulhomes.com.
Three kinds of people use it. Team members join by invitation. Clients are invited by their agent or create a client account from the sign-in page, and see only their own transactions and home. Partner businesses in the Trusted Pros directory have no account; they manage their listing through a private link the team sends them.
Data we collect
- Account data — name, email address, a password (stored only as a secure hash), role, and profile details you add, such as phone, photo, bio, and for agents licence and insurance details and documents.
- Transaction files — property addresses, client names and contact details, contract and closing dates, prices, loan and lender details, milestones, tasks, documents, notes, and commission figures. Commission figures are visible only to the team members responsible for them.
- Client portal data — your home details, documents shared with you or uploaded by you, messages between you and the team, requests, home value estimates, and the partner businesses you rate, save or contact.
- Photos and documents you upload — from your files or your device's camera. The iPhone app asks your permission before using the camera, and can add events to your calendar only when you tap to do so.
- Voice — the microphone is used only while a team member is speaking to the voice assistant or recording a voice note. Voice notes sent in a client conversation are stored with that conversation.
- Partner business data — the business's listing, and the requests clients send it (name, contact details, message and any photos the client attaches).
- Usage information — which pages and features of the portal are used, recorded without names, record numbers or private links, so we can improve the product. There are no advertising trackers.
- Email records — when the portal sends an email we keep who it went to, the subject, and whether it was delivered.
We do not collect your location, contacts, or health data, and we do not show ads.
How we use data
- To run the team's transactions: files, deadlines, tasks, documents and reports.
- To keep clients informed about their transaction and home, and to answer their messages.
- To connect clients with partner businesses they choose to contact.
- To send reminders and summaries. Every recurring email has an unsubscribe link.
- To sign you in, keep your account secure, and keep an activity record for administrators.
We do not sell data, share it for advertising, or use it to track you across other companies' apps or websites.
The AI assistant
Team members can ask the AUL Assistant questions by typing or by voice. To answer, the question and the records needed for it are sent to an AI provider (OpenAI). The assistant only reads records the team member is already allowed to see, and changes are saved only after the team member confirms them. Questions about public topics, such as local news, are searched on the web using only the general topic and city, never client details.
A team member may also connect their own Grok (xAI) account. Grok can then read the records that team member can see and propose changes, which are saved only after confirmation. Administrators can see every action taken this way and can disconnect it at any time.
Third-party services
- Supabase — database, sign-in and file storage.
- Cloudflare — server functions, such as sending email and running scheduled reminders.
- Netlify — hosts the website.
- Resend — delivers email. Replies to an agent's email go to that agent.
- OpenAI and Rork — AI providers for the assistant, email drafts and image tools. They may not use this data for advertising.
- xAI (Grok) — only for team members who connect it.
- Tally — hosts the PICRA form, under its own privacy policy.
- RentCast — home value and market estimates, looked up by property address.
- Open-Meteo, NOAA and Eventbrite — weather, tide and local event information for your area. No personal data is sent to them.
These providers may process data on servers in the United States or other countries where they operate.
Retention and deletion
Transaction files, documents, the activity record and email records are business records of the team and are kept while the team uses the portal, including past seasons. In-app notifications are kept for 90 days and directory view statistics for one year. Account data is kept while the account is active; when an account is removed, sign-in access ends immediately. You can request deletion of your personal data at any time (see below), and the iPhone app lets you delete your own account directly.
Your rights
You can request a copy of your data, corrections, or deletion by emailing info@aulhomes.com from your account email. See Privacy Choices for the full list of requests we honor.
Children
AUL Homes is for real estate clients and professionals and is not directed at children under 13.
Changes to this policy
If this policy changes in a meaningful way, we'll update the effective date above and note the change inside the app or by email.
